Booking conditions for Kokkola Tourism´s group trips

These booking conditions apply to group tours and programmes booked from Kokkola Tourism’s sales service. An agreement that is binding on the travel service provider is created and these terms become binding on both parties when the customer has made an advance payment for their booking or has paid both the advance payment and the final payment.

1. Payment terms

When the service is booked more than 45 days before the service starts, 20% of the total price of the service will be paid in advance within 7 days of booking. The final payment will be made no later than 23 days before the start of service, unless otherwise agreed and stated in the booking confirmation. If the payment terms are not followed, the booking will be considered cancelled.

2. Cancellations

The cancellation is considered to have taken place at the moment when the information about the cancellation has reached Kokkolan Matkailu Ltd, which is the tour operator. For cancellations made before the start of the trip, the tour operator is entitled to charge cancellation fees according to the general travel conditions as follows:

  • a) Pre-announced office costs for cancellation no later than 45 days before the start of the trip.
  • b) Booking fee when the trip is cancelled later than 45 days but no later than 21 days before the start of the trip
  • c) 50% of the trip price if the trip is cancelled later than 21 days but no later than 7 days before the trip
  • d) 75% of the trip price if the trip is cancelled later than 7 days but no later than 3 days before the start of the trip
  • e) 95% of the price that was cancelled later than 3 days before. The travel service provider has the right to transfer the services he / she has ordered to another external party no later than 3 days before the service starts.

If the person booking the individual service or a person living with him / her suddenly becomes ill, has a serious accident or dies, the customer is entitled to a refund of the price of the paid service, in addition to advance payment and office costs. Obstacles to using the tourist service must be proven with a medical certificate. Cancellations must be notified immediately if the use of the tourist service is interrupted for the reasons mentioned above and no refunds will be given. These reasons apply to the group service subscriber when the whole group or a larger part of the group has been the subject of the above-mentioned circumstances.

3. Kokkola Tourism´s right to cancel the booking

In the event of Force Majeure which prevents or substantially impedes the implementation of the tourist service, the tour operator may cancel the service, in which case the customer must be notified of the cancellation without delay. In this case, the customer is entitled to a full refund of the amount paid. Any other costs incurred by the customer due to cancellation due to Force Majeure will not be reimbursed.

4. Compensation

The user of the tourist service is entitled to compensation for personal injury, property and property damage caused to him by the tour operator, if the error or damage is due to negligence on the part of other traders assisted by the tour operator or tour operator in performing the service agreement. No liability arises if Kokkola Tourism Ltd, which acts as tour operator, can prove that no negligence has occurred on the part of the tour operator.

5. Complaints

All complaints related to the services must be addressed immediately during the service event or immediately after the question arises, but no later than 14 days after the opportunity has been given directly to the tour operator’s representative or the provider of the individual service activity. If this is not possible or if a satisfactory solution is not found or a claim for compensation is made, a complaint must be made to Kokkola Turism Ab, which acts as tour operator, about the service provided according to the notice without delay. If the customer and the company do not reach an agreement, the customer can refer the matter to the Consumer Disputes Board.

6. Other

The customer is responsible for the permits, certificates or documents required to use the service, such as passports and visas, being valid during the trip. We also recommend that you take out insurance, e.g. to cover sudden illnesses and cancellation costs. In case of error and damage, we apply the general principles of contract and compensation.

In addition to these booking and cancellation conditions, Kokkola Turism Ab fulfils the general travel conditions negotiated by the Finnish Travel Agency Association and the Consumer Ombudsman when a group trip or travel service falls within their scope.
